BUSINESS BACKGROUND

Pension & Benefit Services Limited is a specialist firm of pension administrators based in York. The company was formed in 1986 solely to provide pensions administration and consultancy services to corporate clients. Since the company began in 1986, it has has grown from 3 to over 60 employees.

THE PROBLEM

Pension and Benefit Services Limited was looking for a fully managed print solution that would improve its printing efficiency, save money and give the company the most up to date available equipment.

THE SOLUTION

Ben Johnson Ltd installed print auditing software on the network to see what printing was being done. This study was carried out over 1 month and showed many details about their print output including how much was being printed and how much it was costing.

Ben Johnson Ltd took this information away and compiled a detailed presentation outlining the current situation and their recommendation for PBSL.

Using the information provided by Ben Johnson, Glen Wright, Server Support Analyst, was able to present the solution to his directors and get sign off in principle for new multifunctional copiers and printers (MFPs) and Canon's unique print management software uniFLOW.

Ben Johnson Ltd gave a presentation to the senior managers and team leaders where they were encouraged to ask as many questions as possible. As Glen explains "Ben Johnson Ltd were able to answer all our questions and we were very impressed with their understanding of our systems and needs as well as their knowledge of holistic print management."

The solution was then approved and the new MFP devices delivered. Ben Johnson Ltd and Canon engineers came the week after to install and configure the uniFLOW software onto the print server so that they can see what people are printing and charge individual cost centres accordingly. The software also allows customers to be back charged with a graphical invoice showing exactly what has been printed on their behalf. This is already bringing revenue back into the business and provides a new revenue stream.

As Glen added, "As part of the uniFLOW solution we have been able to stop printing to our small desktop LaserJet printers which the toners alone were costing 12,000 GBP per annum and print everything to the MFPs. This has massively reduced our printing costs."
